This tab allows you to enter descriptive information or add attachments to a lease record. This can be helpful in grouping leases for reporting purposes, or for simply tracking additional information (i.e. Fund number, Business Unit, Location, etc).
These fields can also be updated in bulk (See: Bulk updating descriptive lease information). All descriptive fields are optional.

Financial Group |
Optional; You may enter up to 50 characters of information. This can be used for selecting subgroups of leases for reports (using the report’s Special Options). User-defined Fields |
Optional; These twenty fields allow you to enter up to 100 characters each. This can be used to hold whatever information you want. You can select leases that contain particular entries in any of these fields when you run reports (see Special options for reports, chapter 4). You may choose how many of the fields to display (to avoid cluttering the screen) and can also set the title for each of these fields that displays both on this screen and on reports that list the user-defined fields; these are set in System Options (see chapter 5). You may optionally specify that the values for these fields should be selected from a list. To do this, use the UDF Choices tab of System Options. You can specify any of the user-defined fields to serve as a suffix on certain account numbers (see Account Number Suffix, chapter 5). |
User-defined Date 1, 2 |
Optional; You may store additional date information here. You can select leases that match the date shown when you run reports (see Special options for reports, chapter 4). You can also set the title for each of these fields that displays both on this screen and on reports that list the user-defined fields; these are set in System Options (see chapter 5). |
View/Change Attachments |
Optional; You may add attachments to a lease record, representing any type of file. If you click on this button, a new window opens, permitting you to view existing attachments or add new ones. Picture-type attachments will display in a Listing report, if you check the Include Attachments box. EZLease displays other types of attachments by opening the associated external application. Attachment Window Attachment caption Select from the list of attachments to display those already saved for this lease. If the attachment is a picture file (bmp, gif, jpeg, png, tiff), EZLease displays it. New Attachment Click on this button to add a new attachment to the lease. You may attach any type of file. Enter a caption (up to 200 characters; default is the file name) for the file, which you will use to select the attachment in the future, and which will display on listings. If you attach a picture file (with an extension such as .bmp, .gif, .jpg, .jpeg, .png, .tif, .tiff), EZLease displays the picture once it is saved. Delete Attachment Delete the currently displayed attachment. Print Attachment(s) Immediately print the attachments for the lease (only available for picture attachments; for other types, Open Attachment and print in the associated external application). To select just the current attachment, choose Selection as the Print Range; to print all picture attachments, choose All as the Print Range. Open Attachment Open the attachment file in the external application that is defined as the default application for the attachment's file type. If you wish to use a different external application to open the file, please Save Attachment, then open the file from the other application. The attachment is saved to your temporary folder (%temp%) before being opened, marked Read Only so that you remember to save it to another location if you want to keep it. If the attachment does not have a filename associated with it, it is given the name "Untitled" with its appropriate file type. Save Attachment Save the attachment back to a regular file. By default, its original name (but not folder) is used, but you can change the name by which to save it. When you are done viewing the attachments for this lease, click Close to return to the main lease screen. |
Add/Edit Memo |
Optional; If a memo has been entered, to the right of the button EZLease shows its size. The memo field allows you to enter as much information as you like. You might want to list who is responsible for the lease, any arm’s-length renewal options (which are not included in the original lease term), or anything else. This information is listed if you print the lease. It is not used for any financial calculations and cannot be used to select subgroups of leases for reports. (See the Asset Class, Financial Group, and User-Defined fields if you want to be able to enter information to select subgroups.) |
Last Update |
Filled in automatically. This shows the last date on which a change was made to the lease record, as well as the user name of the person who made the change. If you are using Access databases, this is the PC name and Windows login name; if you are using SQL Server, this is the SQL Server username. |
