EZLease is licensed per computer. You may purchase additional seat licenses if multiple people wish to use EZLease. You may optionally purchase the ability to use SQL Server databases; for SQL Server setup, please see Appendix D in the User Guide.
EZLease databases (other than SQL Server databases) are Microsoft Access databases, with a .mdb file type. Only the first user to open an Access database may change the data (read/write access); any other users can only read data, to view leases or run reports. EZLease notifies you if someone else is already using the database and appends “(Read Only)” on the end of the file name displayed at the bottom of the screen to remind you. If you use SQL Server, all users simultaneously have read/write access to the SQL databases (if they have read/write permission).
EZLease should be installed on each computer that should run EZLease (or a terminal server, as discussed below); installing the software to a network drive won't work, because there are files which need to be installed to locations other than the installation folder but are necessary for EZLease to operate.
If you are using the Lite Edition of EZLease, by default the lease database is stored on your computer in the folder C:\ProgramData\LeaseAccelerator\EZLease (in Windows XP, C:\Documents and Settings\All Users\Application Data\LeaseAccelerator\ EZLease). When you run EZLease for the first time and register the software, you can choose a different location to store the database. With multiple users, you will usually want to store the database on a server. If you wish to change the location at a later date, you can redisplay the registration screen by double-clicking on the “Lite Edition” title at the top of the About EZLease window (on the Help menu).
You may want to share some of the files that hold settings-type information. The two most important such files are the options settings file and the account number groups database. The options settings file contains settings for all the System Options (described in chapter 5). The account number groups database contains general ledger account numbers for lease activity, selection lists for user-defined fields, and possibly additional lists if you have purchased optional modules. Sharing these files will ensure consistent reporting between users. In addition, placing them on a server may make backups easier (servers are typically backed up automatically, while individual users’ computers may not be).
If you are using the Lite Edition (single database) and change the location for the lease database, you are given the option to move both settings files to the same folder at the same time.
To share the options settings file (Options.xml), follow these steps:

If you are using the SQL Server implementation of EZLease, you are prompted for the appropriate SQL Server instance for the account number groups database when you first run EZLease; the steps just shown are needed only if you want to change the location for the account number groups database at a later date.
If you want to limit access to the EZLease databases to particular users, you should set the permissions on either the folder containing the EZLease databases or on each individual file. Depending on how your server is set up, you may be able to set the appropriate permissions by right-clicking on a file or folder, choosing Properties from the context menu, and choosing the Security tab. If you are unsure how to set permissions appropriately, or if you do not have Administrator rights on the server, please contact your IT department for assistance. If you are using SQL Server, see Appendix D for information on setting permissions on each database.
Citrix Terminal Server
If EZLease is installed on a Citrix terminal server (or similar system that allows multiple users to connect to a system image and run applications installed on it), a separate seat license is required for each user. The only special setup required is the permissions for the folder containing EZLease’s settings files (in Windows Vista or later, C:\ProgramData\LeaseAccelerator\EZLease). This folder must be set for Full control by Standard/Limited users.
