Do not attempt to make changes to the files outside of the EZLease program. Certain fields within the files are dependent on each other; EZLease keeps them all synchronized. Making changes directly to the files invites data corruption and loss of information. LeaseAccelerator, Inc. cannot be responsible for program errors introduced by viewing or altering data files with any program other than EZLease.
To reduce the danger of inadvertent changes to the databases, EZLease automatically sets the Read Only attribute on its databases when the program closes. If the Read Only flag is not set when EZLease opens the file (either because you turned off the flag, or because EZLease crashed while the file was open), EZLease automatically goes through the database to check for possible consistency errors. However, if you make changes to the database with a different application, it is possible that this consistency check will not notice problems you introduce, or it may not adjust for the error the way you would prefer.
The following precautions can help minimize accidental loss of data:
- Make backups of your data at the end of each working day. Store the backups in a cool, dry place away from your computer (preferably in another building, in a fireproof container, or with an online “cloud” backup service). Some companies make two backups; they keep one with the computer, for quick access, and a second offsite, in case of fire or other disaster. Remember that if something happens to your hard disk, all data entered since your last usable backup will be lost. Be sure to back up EZLease’s data folder (see below) as well as any folder you may use for Standard Edition databases.
- If you have the Lite edition of EZLease, your database is named mdb. By default, it is located in EZLease’s data folder (C:\ProgramData\ LeaseAccelerator\EZLease, though you can specify a different location while installing the application. If you have the Standard Edition, you name the databases and place them in whatever folder you wish.
- EZLease's data folder location is also where the System Options and registration information are stored (file names xml and EZLease.config), for all editions of EZLease. This is also the default location for the Account Number Groups database (Account numbers.mdb), unless you are using the SQL Server implementation. We recommend you include this location in your daily backups.
- If you use an automated backup system, make sure that it does not skip EZLease data files because they have the Read Only attribute set. Some backup systems ignore Read Only files by default.
- An uninterruptable power supply can eliminate the hazard of a power failure, which can result in the loss of data.
IMPORTANT: Never turn off the computer while running EZLease.
You risk damage to your data if you do. Before turning off the computer, exit EZLease and wait for the application to close.
